Creating awareness about the company policy, mission and future plans.

to monitor and control operation

Meeting,discussion situation, to share ideas, opinion.

Communication enable networking
to create Freindlier networking relationship.

Advocacy
when this happen the organisation can move toward a common goal.

improves performance
upward and downard communication, staf will be motivated and perform better.

Communication can develop esteem
steaff will be feel proud, happy if their effort is being commended, acknowledged and recognised.

SENDER
- the individual, group or organization that needs or want to share information with some other individual, group or organization.
- Sender is a people that start communication.
- sender always is a has an ideas or information to send other people.

RECEIVER
- The individual, group or organization for which information is intended.
- People that's receiving the message.
- They known as audience or destination.

MESSAGE
- Message is a information that want to send to another.

ENCODING
- Process translating  the message into symbol or language that a receiver can understand.

DECODING
- Process when a message has delivered or successful to receiver.
- Interpreting or trying to make sense of a sender message.

MEDIUM
- How he want send? the situation or place. Chanel.
- The pathway through which an encoded message is transmitted to a receiver. example like a fax machine.

FEEDBACK
- Respond from receiver, when he get a message, he understood the meaning, he must reply for inform to sender that message was succesful.

NOISE
- Some problem that happen like a no clearance meaning, not understood, missing or whatever.
- Anything that interferes with the communication process.



BARRIERS AND HOW TO OVERCOME.

NOISE
- Distraction to the environment.  Gangguan terhadap persekitaran.
- Physical noise such as a clattering of a machine, ringing of the telephone. Gangguan fizikal seperti bunyi mesin, bunyi telefon.
- It also affects accuracy and concentration of the parties involved in the communication.  Memberi efek kepada ketepatan dan tumpuan kepada pihak lain.

HOW TO OVERCOME
- Beware of noise and choose appropriate place, time and medium,channel communication.  Kena tahu jenis gangguan dan pilih masa,tempat dan cara yg sesuai untuk komunikasi.
- Understand the strengths and problem that come together with each channel of communication.  Kena tahu kekuatan dan kekurangan sesebuah saluran/cara yg nak digunakan untuk berkomunikasi.
- Fight  noise with effective listening.


DISTORTIONMenyeleweng.
- Distraction to the message. Gangguan terhadap maklumat.
- Wrong encoding or decoding or translate because of different perception, opinion, values education background, gender and age. Salah mengenalpasti maklumat, salah translate kerana berlainan tanggapan, pendapat bla bla bla..
- Different people have different ways of looking at things. lain orang lain pendapat.
- Distortion can cause misunderstanding, disagreement and communication breakdown. boleh menyebabkan salahpaham, ketidaksetujuan dan teputus komunikasi.


HOW TO OVERCOME.
- Get feedback and clarification . Minta penjelasan dan kepastian.
- Making assumptions. Membuat andaian.
- Both parties must communication to recognize and understand the distorting influences. Kedua2 pihak mesti berkomunikasi untuk memahami masalah tersebut.
- Accept the fact that no body think/act the same. terima hakikat bukan semua org fikir benda yg sama seperti kita fikir.
- Try to see things from another perspective. 




LANGUAGE
- Word used do not same meaning to another person. ayat yg x sama maksud dengan org lain contoh. kelantan : coklat 
              semenanjung : gula2
- Regional accents, dialects, foreign language may also affect misunderstanding. loghat,bahasa lain juga boleh menyebabkan salah faham.
- Used specific or jargons/technical term can be confusion. bahasa2 spesifik macam H1N1, bahasa2 doktor ke, bahasa sains ke...

HOW TO OVERCOME
- If used jargons or technical term, make sure they used with people have a understanding meaning.  gunakan bahasa spesifik dengan org yg faham sahaja.
- Use simple word.
- Obtain and give feedback. dapat dan bagikan tindakbalas.
- people must learn to up level in the communication to communication with another people. 




SYSTEM/RELATIONSHIP
- The effective of any communication may depend on our relationship between sender and receiver. komunikasi yg bekesan bergantung kpada sender and receiver.
- If lack of trust and honesty, communication may fail. Kalau ade kurang percaya dan jujur, komunikasi boleh gagal.
- In organization, many rule sometime can be distract a communication. terlalu bnyak peraturan bole menggagalkan sesuatu komunikasi.
- Distant relationship may cause misunderstanding to occur easily. Hubungan jarak jauh bole membuat kesalafahaman dengan mudah.

HOW TO OVERCOME
- Display sincere commitment to openness and flexibility. tunjukkan kejujuran.
- Ask yourself how the communication should have improved in order for it to be effective. Tanya diri sendiri.
- Tell everyone concerned.
- Practice emphatic. treat people nicely.  Layan org dengan baik.




INCORRECT TARGETING OF AUDIENCE .  Salah pendengar.
- We must look and choice right people because if audience not interesting to listen he can cause the communicatiob fail.  pilih pendengar yg betul, kalau die x berminat nak mendegar akan menyebabkan kegagalan komunikasi.
- lack of planning or fail to identify the purpose of communication can cause communication failed.


HOW TO OVERCONME
- The sender need to plan what he want send.
- Ask yourself why are you preparing the message and for whom are you preparing. 
- know your targetting.
- Organize your word.
- Get straight to the point.




3 TYPE OF NOISE.


1.PHSYCAL
Psychical transmission of the signal or wess.
example : People talking loudly outside.


2. PSYCHOLOGICAL.
Mental interference. Gangguan mental,
Example : prejudies.


3. SEMANTIC. melampau
Speaker listener assigning different meaning .
Example : use jargons, or complex word.






Communication can ve divided into 2 category.


1. Verbal communication (written,spoken)
2. Non-verbal communication (Visual, body language.


VERBAL COMMUNICATION


- Using word.
- Known as oral or writen.
- Oral example : face to face, telephone conversation, tape recording
- Written example : letter, order blank, email.


LEAN COMMUNICATION.
Written.
because no feedback.
Static (one way )
Example: memo,letter, bulletin
More clear


RICH COMMUNICATION
Spoken
Because have feedback.
Interactive (two way)
Example : Telephone,talk, face to face discussion.
Lean clear




WRITTEN ADVANTADGE

- Can be stored and retrieved for permanent record for future reference.
- No need to spontaneous.The sender can be plan what he want talking about.
- Can give maximum concertration.
- Can ce delivered in a numbers of way. many ways.
- It more secured,special postal.
- More efficient for long and complex message.

DISADVANTADGE


-Slow to send and receive.
- Lot work example must go to the post office, buy stamp, waste time.
- Late get back a feedback.
- Cannot modify once message is sent.
- no help by body language.




SPOKEN ADVANTADGE


- Fast to talking about and get a feedback.
- If have misunderstanding, easy to repair, discuss.
- Can change opinion, ideas.
- No wasted time.
- Communication can be more efficient and nicely with body language.


DISADVANTAGE


- Can be record for future refference.
- Must be spontaneous.
- open to distraction.




NON-VERBAL COMMUNICATION


without word, like a table, charts, graphs, drawing, illustrations, photographs to illustrate the word.


ADVANTADGE


- It can overcome language difficulty.
- a picture is worth a thousand word.
- More stimulus by a large audience.
- It can be use large and small letters, different styles, and other graphic.
- It can be draw attention and add value to the message.




DISADVANTADGE


- Difficult get feedback immediately.
- Not easy to establish personal contact between sender and receiver.
- Must have additional skill to understand diagrams and graph.
